Office Administrative Assistant

Eben Grays Roofing Service is looking for an office administrator to assist in running and managing the daily office responsibilities. 
Job Description – Administrative Assistant – Full time – Salary $33K ($16/hour ~)

An Administrative Assistant manages daily office tasks such as scheduling appointments, organizing files, and handling correspondence. They support team members by coordinating meetings, preparing documents, working with customers, supporting the team, and maintaining office supplies. Proficiency in office software and strong organizational skills are essential. The ideal candidate is detail-oriented, has excellent communication skills, and thrives in a dynamic environment.
Roles and Responsibilities

  1. Administrative Support:
    • Schedule appointments and manage calendars.
    • Prepare and organize documents, including reports, memos, and correspondence.
    • Handle incoming calls, emails, and other communications.
  2. Office Management:
    • Maintain office supplies inventory by checking stock and placing orders.
    • Ensure the office is clean, organized, and well-maintained.
    • Coordinate maintenance and repairs of office equipment.
  3. Data Management:
    • Enter and update data in databases and spreadsheets.
    • Organize and maintain filing systems, both electronic and physical.
  4. Meeting Coordination:
    • Plan and coordinate meetings, including booking venues and arranging catering.
    • Prepare meeting agendas, take minutes, and distribute them to attendees.
  5. Financial Duties:
    • Assist with basic bookkeeping tasks, such as processing invoices and expense reports.
    • Manage petty cash, accounts receivables, and budget tracking.
  6. Customer Service:
    • Greet and assist visitors, providing them with information and directing them appropriately.
    • Handle customer inquiries and complaints professionally.
  7. Project Assistance:
    • Support team members with various projects and tasks as needed.
    • Conduct research and compile information for special projects.
  8. Confidentiality:
    • Handle sensitive information with discretion and maintain confidentiality at all times.
